VIEW STOCK LEDGER REPORTS
VIEW STOCK RE-ORDER REPORT
  
The Stock Re-order Report will only include the sales documents (Invoices and Credit Notes) and the purchase documents (Purchase or Goods Received Notes and Stock or Goods Returned documents entered in the Input - Documents menu option and which posted or updated to the ledger. If you are using the Point-of Sales facility, only the Point-of Sales Invoices for Shifts, which have been closed, will be included in this report. Any Stock Adjustments processed in the Input - Adjust Stock menu option will also be included in this report.

This report is generated on the Re-Order Options screen on which the following options criteria for the details to be included in this report is selected:
  1. Sequence - To list the details for the selected stock items included in this report according to the Stock Item Code, Description or Stock Groups 1 or 2 if you have created Stock Groups.

  2. Stock Code - select a specific stock item code or a range of codes on the Stock Item search or lookup facility.

     

  3. Select to print each Stock item on a new page or to view all stock items including those items with more quantities at hand than the re-order level.
This report lists the re-order level quantities and quantities on hand. The difference between the re-order quantity and quantities on hand as well as any Invoiced and Back-Order quantities will be displayed for the Invoices, Credit Notes, Purchases and Stock or Goods Returned documents created on the selected date or dates and which is updated to the ledger. An example of the Stock Re-Order report reflecting the details, is as follows:

Name of the business. System date and time. Name of the report. Stock Item code and description or name. The minimum Re-order levels of Stock Items as entered on the Edit - Stock Items menu option. Quantity on Hand as updated in the Input - Stock Adjustments and when Documents are updated to the ledger. Difference between the Re-Order Quantities and the Quantities on hand. Quantities as entered in the Quantity Ship field of an Invoice. Quantities as entered in the Quantity Order field if the Quantity Ship field of an Invoice is not entered. Latest Cost Price as entered on Purchase documents. Page number.

The details of this report is displayed in the following 8 columns:

  1. Stock Code - The selected Stock Item code will be displayed.

  2. Description - The name or description of the selected Stock Item code.

  3. Re-Order Level - The minimum quantity of stock items which should be on hand before you need to order or purchase any further stock items. This re-order level quantities is entered in the Re-order field on the Edit - Stock Items menu option or in the Input - Stock Adjustments (Advanced tab) menu option.

  4. Qty On Hand - This is updated when documents are updated to the ledger. Purchases and Credit Notes as well as any adjustments, which increases the Stock quantities (stock in), will update the quantity on hand as a positive quantity. Invoices and Goods Returned documents as well as any adjustments, will decrease the Stock quantities (stock out).

  5. Difference - This quantity indicates the quantity of stock items available below the re-order level. If you have selected to show all items, those items with sufficient quantities (more quantities than the re-order level) will be displayed as a negative figure.

  6. Invoiced Qty -

  7. Back Order Qty - This is the quantity of any outstanding back-orders for the Invoices entered in the Input - Documents menu option and which are posted or updated to the ledger for which no quantity is entered in the Ship field of the Document Entry Details screen.

  8. Last Cost Price - This is the Cost Price or Purchase Price as updated with the last Purchase or Goods Received Document updated to the ledger. The Cost Prices are reflected Exclusive of VAT.


The Quantities which are displayed in <> indicates a credit or negative figure. You may change this negative amount indicator to a minus sign (-) to prefix your amounts or set it to display a D (for Debit) or a C (for Credit) in the Setup - Preferences - Data Parameters menu option.
