Using TurboCASH


This option allows you to generate statements, which you wish to dispatch to your debtors to inform them of the amounts they owe you. Before you send statements to your debtors, it is important to check whether you have entered and posted all the transactions for your debtors to the ledger.

To generate Debtor Statements:
Click on the Reports - Debtor - Statements menu option or press the and and and keys on your keyboard. The Debtor Statements screen will be displayed.

Title bar. Close button - will exit or close this screen. Select, Screen, Printer, File, E-Mail or Fax. Copies - the number can only be selected if the Printer option is selected. Click to change the Printer and the Page Setup for Dot Matrix Printers. Select the range of Debtor Accounts. Enter a minimum amount (e.g. debtors with outstanding amounts of less than the specified amount). Select to display details - such as contact details for each account. Select to list the accounts according to account name - if left blank accounts will be listed according to account code. Select to view the tax transactions - if left blank no tax transactions will be listed. Use open item - select if you have open item debtors and you wish to view the open item matching. The aging descriptions - you may change it to any other description to be displayed on the ageing reports. Enter or select a valid date using the Date Picker. Enter or select a date using the Date Picker. These dates will be calculated according to the number of periods entered in the periods field you specify. Click to generate the report. Click to close or exit this screen. Number of periods - will calculate the Months up to - usually 1, but can be changed to any valid number of periods. The selected date of the Statements will be displayed.
Select the options to generate Debtor Statements:

You may select all your debtors, a specific debtor or a specified range of debtors to be included in your report.
Minimum Amount You may wish to exclude debtors, who owe less than a specified amount. Enter the minimum amount you do not wish to follow up. This is a very handy facility, if you wish to target debtors with a specified exceeding a minimum outstanding amount. An amount you specify may not be economically recoverable, or you wish to target outstanding debtors from a specified amount to minimise your losses or improve your cash flow.
Sort by Name If this box is ticked, the debtors will be listed in alphabetical order. If not selected, the debtors will be listed in the account code sequence.
Date of Statements You may specify the date of the statement. This date will include transactions on or before this date.
Up to The months up to will specify the date in which the transactions for the current period should be included.
Months up to The months up to may be selected, as to report the age analysis on, but could include any period specified.
Terms You may specify any suitable description to meet your specific requirements for the current and three terms. The normal recommended circumstances would be to include the periods as defined in your credit terms, current, 30, 60, and over 90 days.
Use Open Item If this box is ticked, the open item, method will be displayed.
Show Tax Transactions If this box is ticked, all transactions will be displayed exclusive of VAT. The Tax transactions relating to VAT will be displayed separately in a blue colour.
Show Contact Person The name of the contact person will be displayed if this field is selected.

Click on the button. The Statements will be send to the media, which you have selected in the Send Report To field.

When you click on the button for any report, which contains transactions, etc. TurboCASH will check for unposted items and display the number of unposted Batches and Documents. You may select to view the details of the unposted Batches and Documents. This is an important facility as these batches contain transactions, which will not be included in your reports.
